How to Set Up Warm-Up Inbox Filters ?

Quick guide to Keep your inbox clean by filtering warm-up emails into a separate folder.

Warm-up helps your email account build a positive sender reputation by exchanging emails with other warm-up users. To keep your inbox clean, you can set up a simple Inbox Filter so warm-up emails don’t mix with your real emails.

Below are quick steps for Gmail (GSuite) and Microsoft Outlook.


Step 1: Copy Your Inbox Filter ID

  1. Log in to Sprouts.ai.

  2. Go to Run Campaign

  3. Go to Settings → Email Accounts.

  4. Select the account that’s on warm-up.

  5. Open the Warm-Up page.

  6. Copy the Inbox Filter ID (top-right corner).

You’ll use this ID in Gmail or Outlook to filter warm-up emails.


Step 2: Set Up a Filter in Gmail (GSuite)

  1. Open Gmail → Click ⚙ Settings → See all settings.

  2. Go to Filters and Blocked Addresses → Create a new filter.

  3. Paste your Inbox Filter ID in the “Has the words” field → Click Create filter.

  4. Check these options:

    • Skip the Inbox (Archive it)

    • Apply the label → Create a label called “Warm-Up”

    • Also apply filter to matching conversations

  5. Save.

✅ Now all warm-up emails will automatically skip your inbox and stay neatly under your “Warm-Up” label.


Step 3: Set Up a Filter in Microsoft Outlook

  1. Open Outlook → Go to Settings → Filter.

  2. Select Rules → Add new rule.

  3. Add a condition: Message body includes → Paste your Inbox Filter ID.

  4. Choose a folder (e.g., create one called “Warm-Up”).

  5. Save the rule.

✅ From now on, warm-up emails will go directly to that folder instead of your inbox.


Tips

  • Create a dedicated folder/label named Warm-Up for clarity.

  • Check the folder once in a while to confirm it’s working.

  • If warm-up emails still appear in your inbox, double-check the filter ID.
